Planned Lists

 

Policy:

ESs enter in your “planned list” YOURSELF in ES Webfiles as soon as you know a student will be dropping/graduating/coming in new and/or requesting you.  Also enter in any students you wish to transfer to another ES.  Do not email your advisor or the office directly about these, but use the Webfiles process to begin.

 

Reason for a Planned List:

1. We assign students to ESs with available space.  If you know a space will be freed up soon from your list, but it is too early to enter the actual drop, entering a “planned drop” will allow for the office staff to pick a student replacement for you ASAP. This also saves us from having to hire another teacher if we know that enough open spaces are coming soon.

 

2. We begin to assign students for the next school year after all students who will enroll for the current school year are assigned, typically in late March.  At that time, students are assigned by seniority to those ESs showing space on their planned lists (& current open spaces).  HINT: You may not have space for next year’s students unless you complete your planned list!

 

Procedure:

1.     In ES Webfiles, from View/Students Active tab click the yellow "Planned Departures" button.

2.    Select “Departures” or “Expected students” tab.

3.    To enter a planned departure, click in the Type field and complete that screen that pops up. Click submit when done. The departure info will now show up for you and the student assignment department, and in the case of a transfer, your ES Advisor will also receive an email, which will start the transfer process with you .

4.    To enter an Expected student, complete the info in that tab. The departure info will now show up for you and the student assignment department.

 

Note:  YOU MAY NEVER ENTER A STUDENT CURRENTLY ASSIGNED TO ANOTHER ES on your planned list! For currently enrolled students, the only ES who may put them on their planned list is the current assigned ES.  In practice, if you do this, it will take up your free spaces, and show that you have no spaces for additional students.

 

To trade the same number of students with another ES:

1. Talk to the ES and make agreeable arrangements.

2. The ES of the current students to be transferred enter their Planned Departures.

3.  An email goes to your advisor(s).

4.  Tell the advisor of your plans and the requested transfer dates.

5.  When approved, the advisor will confirm with the office.

6. Continue serving your assigned students until you get an official transfer email from the office.
