Exit Withdrawal Codes Descriptions
Definition
The Drop status for a
student is defined by California Education Code. When a student is leaving our school,
please ask where they are going, then select either “Regular” drop,
“Completion” drop, “Graduate” Drop, or “Drop Out” status on the Student Drop
form printed from ES Webfiles based on their answers matched with the
descriptions listed below. The “Truant Drop” should only be
selected if the criterion in our truancy policy applies to this drop. We
report this drop information to the state, and it affects our AYP scores, so
please choose carefully. Consult with your ES Advisor if you are unable to make
a determination.
Drop
Procedure
In ES Webfiles on the
Student Detail page,
select View/Active Students. Select the “Student Forms” Tab. For the dropping student, under the “DROP” column, select the correct yellow button for:

Regular
or truant drop, select that button and complete the Webfiles form. Press the
red button when all info has been entered and the drop
is ready to be processed. (It will not be completed in
the office until the date of the drop or after—never before the “drop date”.)

Graduation
or completion Drop to complete a form to print out and submit with your
graduation/completion packet. This drop will not be processed until the
graduation/completion has been approved and your grad
packet has arrived in the school office.

If
you have determined that you need a drop code that is not on your drop down
list in ES Webfiles, please select a code that is close to your choice, then
email (SS/OG/SM) stuchange@ieminc.org (CW) studentrecords@ieminc.org with
details of what code you believe is a better choice and why. The office will make the code change for you.
The “Regular drop” should be selected for these reasons
- 125 Student exited a special education
transition program and was previously reported as receiving a special education
certificate of completion, passing the CAHSEE, or passing the GED
- 130 Student died while enrolled in
school or student completed the school year, was expected to return, and
died during the summer break.
- 160 Student
withdrew from/left school and will be attending another public school in
California
- 165 The student was involuntarily withdrawn from school due
to disciplinary action and transferred to another public school (within or
outside district) in California. The district has received acceptable
documentation of this transfer. A valid 14-digit CDS code must be provided for the school the student will be
attending. (For use of this code, schools include, but are not limited to
Community Day Schools, County Community Schools, Juvenile Court Schools,
Opportunity Schools, and California Education Authority Schools.)
- 180 Student
withdrew from/left school and will be attending another private school in
California
- 200 Student
withdrew from/left school and will be attending another public or private
school US school outside of California
- 240 Student withdrew from/left school
to move to another country.
- 260 Student withdrew from/left school
to enroll in an adult education program and there is evidence that the
student is in attendance and is working toward
the completion of a General Educational Development (GED) certificate or
high school diploma through an adult education program.
- 280 Student withdrew from/left school
and the district has received acceptable documentation that the student is
enrolled in college, working toward an Associate or Bachelor’s degree.
- 310 Student withdrew from/left school
and entered a health care facility.
- 370 Student withdrew from/left school
and entered an institution that is not primarily academic (military, job
corps, justice system, etc.) and is in a secondary program leading toward
a high school diploma.
- 410 Student withdrew from/left school
due to medical reasons.
- 440
Student remains in
same school, but transfers/exits program or grade Student
records department use only.
- 450 Student in kindergarten through
grade six exited/withdrew from school.
- 470 Student was pre-enrolled but never
attended the school and does not fit the criteria of exit code 420 or 430.
Student
records department use only.
The “Completion drop”
should be selected for these reasons
- 120 Student with exceptional needs
(must have IEP) withdrew from/left school and received a certificate or
document of education achievement or completion that meets the
requirements of Education Code section 56390 (Consult with Special
Ed for specific information on your student).
- 320 Student withdrew from/left school
and completed the GED or high school diploma through an adult education
program, school has received verification of the passing scores, and the
student has not returned to school.
- 330 Student withdrew from/left school
and took and passed the CHSPE, the school has received verification of the
passing scores, and the student has not returned to school.
The “Graduate” drop should be selected for these reasons
- 100 Student withdrew from/left school by
graduating and received a standard high school diploma. The student met
all of our high school graduation requirements and passed both sections of
the CAHSEE.
- 106 Student withdrew from/left school after meeting all
state and local high school graduation requirements and received a
standard high school diploma as a result of obtaining a waiver for pupils
with disabilities who have taken the high school exit examination with
modifications that alter what the test measures and have received the
equivalent of a passing score on one or both subject matter parts of he high school examination. Student must be reported in grade 10,
11, 12, US, or AD and in special education to use this code.
The “Drop Out” box should
be checked for the following reasons (only applies to students in grades
7 to 12)
- 104 Student withdrew from/left school without
passing the CAHSEE, but met all other school graduation requirements.
- 140 Student withdrew from/left school
and there is no evidence the student is in an academic program toward a
diploma or its equivalent anywhere else. Includes
students who leave school due to truancy, job, marriage, etc.
- 270 Student withdrew from/left school to
enroll in an adult education program in order to obtain a GED certificate
or high school diploma, but subsequently dropped out of the adult
education program. Student must also be 18 or older and reported in grade
7-12, US, or AD to use this code. Student records department use only.
- 300 Student was expelled with no
further participation in an academic program working toward the completion
of a high school diploma or GED certificate or its equivalent.
- 360 Student completed grade twelve
but did not graduate or receive a diploma and there is no evidence the
student is in an academic program leading toward a diploma or its
equivalent.
- 380 Student withdrew from/left school
and entered an institution that is not primarily academic (military, job
corps, justice system, etc.) and is not in a secondary program leading
toward a high school diploma.
- 400 Other (reason unknown or not listed in any of the other
codes). Student records department use only.
- 420 Student successfully completed a
grade level at a school and did not return to the same school (or any
other school) for the next grade the following year when the student was
expected to return.
- 430 Student successfully completed a
grade level in a school and did not attend the school of matriculation
where the student was expected to attend. ). Student records department use only.
- 460
Student withdrew
from/left school for a home school setting not affiliated with a
non-public school or independent study program at a public school.
