Letter/Email/Voicemail Script
Use for Last attempt to
contact a parent before you submit a drop or non-enrolling to the office. Be
sure your advisor is informed of your processes with this family. Notify the
office ASAP if the given date passes and this family does not respond. (Do not
use over the summer break when the family may be on vacation.) If you leave
this message by voicemail, do follow-up with a hard copy letter/postcard sent
to/left at the families address. Document all attempts to contact in their
file.

(Parent or adult student name),
My
name is (insert ES name) and I have been
assigned as your ES for (school name) for this
school term. I have been trying to reach you by phone & email for the
past two weeks. I have left messages on your answering machine on (dates messages were left) and sent emails to you at (email address used) on (dates
you sent emails). I have not received any reply to those
messages. If I do not hear from you by (one week
from the date of the letter) I will assume you are not interested in
enrolling in our program this school year and have re-entered the school in
your local district. If this is not true, please contact me by (state date again) so we can schedule a meeting to (state next purpose clearly: get your enrollment paperwork
completed/ curriculum orders placed / LR meeting set up/etc)
for this school year.
