After a 1st truancy, Letter/Email Sample to Avoid a Drop

Dear [PARENT],

After discussing your unique situation with my advisor, he/she reminded me that our school policy is that we meet face-to-face every 20 school days, or earlier in order to be legally compliant and to avoid a school truancy. Since we have missed our 20 day meeting, a first truancy was issued.  It is now (insert # of days) days past that missed appointment and despite many emails and phone calls requesting a reschedule, I have not heard back from you. [YOU CAN ALSO INSERT DATES/TIMES OF CALLS/EMAILS].  I understand [HERE YOU CAN INSERT DETAILS UNIQUE TO THE SITUATION IF IT’S NECESSARY], for which I am so sorry. I do still need to schedule a make-up appointment ASAP to fulfill the requirements of my job for the state and for our school.

In order to avoid being dropped from our school, not only do we need to meet in person, but I have to see all learning that took place. Please plan to provide all of the learning completed at our meeting so I can report attendance and complete learning records.

 

I would like to offer the following dates/times to meet in the next few days.  Please let me know which date works best for you, and where you can meet me, and I will plan accordingly.

If I don’t hear from you by [DATE at least 5 school days past the current date], I will submit a drop from our school for you dated the school on the day that we last met, (date).
