Missed Meeting Scenario—How
to Reclaim Viable Attendance
Scenario
The family missed
a meeting with you on Oct 1 because they “forgot” and went to the beach to
study tide pools instead of meeting you at their house. When you contact them,
the next open date they have to meet with you is not until Oct 11. How will you proceed with the rollsheets, and
is it a truancy or not?
Steps
Look at the
picture below of the school calendar. The information I am giving you is
based on the last date you met the family, Aug 30 and the date you will meet
them, Oct 11.

Your first duty is
to find the soonest date from the missed meeting date that you can meet with the
family so that as much of the ADA as possible can be claimed. Every day over 20 that you do not meet is
lost revenue for the school.
Before submitting
a rollsheet with all 20’s, attempt to have a date you will see the family next,
and consult with your advisor.
In the above
scenario, we will assume they were totally unavailable from Oct 2 to 10, and
proceed as stated below.
Before your
meeting, create 2 new rollsheets:
1. 9/14 – 10/11: This RS is based on the
day you meet the parent/AESS or adult student and gather the rollsheet and LR
information. To determine these days, count back 20 school days from the
date you will now meet (highlighted in yellow). This is ADA we can
legally claim on Oct 11. Your documentation of the learning on the LR will have
these same dates.
2. 8/31 – 9/13: This RS is created for
the days beyond the 20 days of legal ADA, days you were not able to meet the
student/parent—marked in blue above. This entire rollsheet will have
zeros for attendance and only be signed by you. The parent does not sign
because you did not meet on that date, and these are the days beyond the 20 you
are required to meet them face-to-face. The LR will be for the same
days. Write in the LR in the Read & Write tab, “Unable to meet
with student.” Document details of all attempts to meet with them and what
happened.
These rollsheets
are not “Revised”, as nothing has yet been submitted for this student. Do not
check that box.
