OGCS/SSCS March 2011 ES Agenda

Please read the agenda, along with each of its links (all links available in ES Handbook for future reference) before your ES Group meeting and take any questions with you to the meeting. The agenda quiz must be completed in your ES WEBfiles BEFORE attending your ES meeting! This agenda has been posted 3/3/2011 and the agenda quiz is due 3/14/2011.

Please note that if you must miss your ES meeting, you should inform your Area Facilitator and ES Advisor and make arrangements with another AF to attend another meeting that month. (All meeting times and dates are posted in the ES handbook along with AF e-mail addresses and meeting date, time, and location). Your AF is listed in ES Webfiles on the ES Welcome page. If you miss the meeting altogether, you will be reminded of your responsibility to attend and will be held responsible for the information given at the meeting. If you miss another meeting, it will become a discipline issue and may result in a drop in your student load. We do not believe that you can effectively serve your students if you miss critical information about the school and your job. Thank you for making these meetings a priority as you schedule your time for this school year!  The ES Support Department.

 

1) Dates to Remember and Dated Duties

a) Remember to bring ALL of your completed portfolios for 2011 along with your current Portfolio Checklists printed from Webfiles, and other items listed below to your March ES group meeting to be reviewed and turned in to your AF at your meeting! Check the regional meeting schedule for information on dates/times/locations for this meeting. You must attend YOUR ASSIGNED GROUP this month due to the portfolio review! Email your advisor if you have any issue with a portfolio and expect to not be able to turn it in at your meeting.

 

b) March 4, 2011:  Have all Writing Scores entered in ES Webfiles and also the Postmark date for original writing samples with scored rubrics to be sent to the school office (See 2a below).  Mail originals to:  (school) Writing Samples, 1166 Broadway, Suite Q, Placerville, CA  95667.

 

c) March 4, 2011: You should have completed your ES Self Evaluation and submitted to Your ES Advisor by March 5th. (See January agenda for info) If this is not yet done, please complete immediately!

 

d) March 4, 2011: You should have marked in your graduates as planning to attend the graduation ceremonies or not in ES Webfiles at View/Students Graduation tab. If this is not yet done, please complete immediately as we want no one to miss out on the graduation ceremonies!

 

e) March 13, 2011: Daylight savings time change!

 

f) March 14, 2011: This is the last day to sign a SA and start a student for the 2011 school year.

 

g) March 24 to April 28, 2011: STAR/PFT testing window.  All of your students must be tested in this timeframe--either by attending a site, or by you testing them individually if they miss attending their site assessment date.

 

h) April 15, 2011: Submit expected grades for your 2nd semester graduates by this date in ES Webfiles.

 

i) April 29, 2011: Submit grad packets for all 2nd semester expected graduates, plus those expected to be done after summer school to your advisor by this date. (Indicate which date they will be done on the paperwork you send to your Advisor). Watch the new "Grad Procedures" Webex posted on the ES Videos webpage if you have a graduate!.

 

j) April 29, 2011:  : Last date to order from IF using 2011 IF, do a transfer of IF, order for summer school from 2011 IF, or enroll in a CP course. Exceptions are GEAS and HQT courses. See details for spring ordering in the training sections below.

The office will not print a diploma for a student if we do not have confirmation that they have turned all school materials in.

·         April 15, 2011: Submit expected grades for your 2nd semester graduates by this date in ES Webfiles.

·         April 29, 2011: Submit grad packets for all 2nd semester expected graduates, plus those expected to be done after summer school to your advisor by this date. (Indicate which date they will be done on the paperwork you send to your Advisor).

·         May 20, 2011: Email advisor with names of any potential 2nd semester graduates who did not make it, change expected grad date in ES Webfiles. Email any update on missing materials (after entering them into FRED).

·         ESs are welcome and strongly encouraged to attend graduation, especially if you have a graduate!

ü  OGCS Graduation: Saturday, May 14 at 10:30 am for 8th grade and Noon for 12th grade at Ocean Grove's Resource Center site, 16900 North Highway 9, Boulder Creek, California.

ü  SSCS Graduation: Saturday, May 21 is the planned date—details still being arranged.

 

m) May 10 and 11 CAHSEE Make-ups for 10th graders who missed the Feb test (REQUIRED!) and any 11th/12th graders who still need to pass a section or two. (Only 11th graders who have not yet made 2 attempts this school year may attend).

 

n) ES Checkout 2011: Plan now to “check out” sometime between May 20 and June 6. Until you are officially “checked out” by your Advisor, we will expect that you are still available daily by cellphone and email, and available to meet with new prospective students. This year we suggest you wait to print out a final copy of your ES Checkout forms as documents received by the office will be automatically checked off for you on the list.  But, you will want to print a preliminary copy for you to use now from Webfiles by going to View/ES Detail and selecting the yellow “print ES Checkout” button on the lower left side of the general tab.

 

0) Summer School Dates: SSCS only!

ü  June 28 & 29th – SSCS Summer School portfolios meeting with Teri in Placerville

p) Save this 2011/12 date! Plan now for a required All ES all day training meeting on:  SSCS: Wednesday, August 24, 2011; OGCS: Tuesday, August 16, 2011.  Details to come.

 

2) Things to Do

a) Print out latest Assessment proctor schedule (OGCS  SSCS) today and highlight your duties, and be ready to serve! Also print out the test location and times for your specific assignment.  There will be no April ES Group meeting so that you can serve your proctor duties. Keep your families updated with any changes to their site location or times at their site location (which we hope not to have, but you never know). Remember that if a student does not attend their assigned test session/make-up session, it is your responsibility to individually test those students.

 

b) Graduation Reminders (Sprint and summer completers)

c)   Report Cards

·         Algebra on Grade School Report Cards:

o  When you go to view/GS Report Card, they are now sorted on the left hand side by Year/Semester/Name, per your requests!

o  Click on a report card, and scroll to the bottom.  Now when you have a student doing Algebra 1 as a 6th/7th/ 8th grader, you no longer have to create a HS report card!  You can enter that info on the Grade School report card! Be sure to select the required HQT for that course. 

·         Check all HS report cards (and the bottom line of the GS report card) for “99” and blank spaces in the HQT area.  Update as you earn your ESEA certifications!  Enroll in SME’s and code right away with correct SME name chosen from your list.

 

d)    ES Checkout Paperwork is now available in ES WEBfiles. Go to View/ES Detail General tab, and click on the button on the bottom left that says "Print ES Checkout". This button will prompt your computer to print two pages. Print the first form as a guide of what to complete before you are “checked out”. You will then print it to turn in later, at the end when all are marked complete by your advisor. Print the 2nd form to complete, sign and turn in at ES checkout for ES specific duties. ESs must be checked out by June 6, 2011. If you have any questions about what is required before checkout, please watch the webex, attend a live webex in early May or ask you advisor if you still are unclear. e)    Use the ESEA Compliance Plan form to update your ESEA plans for 2012 if you are a new ES this year or are not already certified in all core areas: http://www.sscs.cc/Handbook/esjob/NCLBcompplan.pdf .  If you are pursuing an EL certification, do write that into the form in the English section if you do not expect to be done by August 2010. These forms go to Linette Harris when they are complete in the Placerville office.

 

f) LR standards “Yearly Not Done”. At this time of year, many of our parents tend to acquire “Spring fever” and are more open to your suggestions of “what they should do next month”.  Use this opportunity to print out the LR standards, “Yearly Not Done” and give to them as a suggestion of what they might like to work on this Spring. It is not required that all of the standards be mastered in a course/grade level (90% is the guideline for HS courses with standards), but most should be worked on during the course of the school year. Remember, if a parent doesn’t want this suggestion, it is still “parent choice”.

 

g) Fall 2012 student items to work on NOW!

ü  Planned List: Enter in your planned list YOURSELF as soon as you know a student will be dropping/graduating/new and requesting.  Do not email Cindy directly about these! We will begin to assign for next year after all students who will enroll this year are assigned in March.  Students will be assigned by seniority to those ESs showing space.  HINT: You may not have space for next year’s students unless you complete your planned list! Process for entering your planned list:

1.     From View/Students Active tab click the yellow "Planned Departures" button.

2.     Select “Departures” or “Expected students” tab.

3.     To enter a planned departure, click in the Type field and complete that screen that pops up. Click submit when done. The departure info will now show up for you and the student assignment department.

4.     To enter an Expected student, complete the info in that tab. The departure info will now show up for you and the student assignment department. Note:  YOU MAY NOT ENTER A STUDENT CURRENTLY ASSIGNED TO ANOTHER ES as expected on your list!

ü  2012 Student agreements (or a drop submitted and marked done in ES Webfiles)are all due for all of your active students by ES Checkout, therefore please begin asking your current families their intentions for next year and complete SAs printed out from ES Webfiles.  You can enter the drop info now, but remember to go back and mark it done on or after the last day of school. In March you will want to begin this conversation with your current families and plan courses for high school students for Fall 2012, as that information will need to be entered into the database on a report card for 2012 prior to printing the SA. Be sure to select the correct grade level for Fall 2012, as current grade levels are listed now in Webfiles (http://www.sscs.cc/Handbook/studentenrollment/Grlvlassign2012.pdf) (*Please review the  K-8 Grade Placement Policy and the High School Grade Placement Policy for details)! 

ü  New Prospectives assigned now for 2012:  Please contact and enroll newly assigned Fall prospectives as soon as you receive an e-mail notifying you of the assignment of a new prospective. Remember, if you get a new prospective assigned that cannot start on or before March 14, 2011, then the assignment is for Fall 2012 only; there are no more new enrollments after March 14, 2011 for this school year!

ü  Transfer requests: You may start the process to transfer a student after this school year is out at any time now by completing the planned departures in ES Webfiles. We try to place currently enrolled transfer students prior to newly enrolling students, so enter ASAP please!.

ü  SSCS only Summer School:  Students must have been enrolled for Spring 2011 and also have a SA for Fall 2012 (or complete HS in summer school) to enroll for summer school this year, if they wish and if they qualify (see 3d for policy and how to enroll). You must send in their Fall SA (or submit grad packet to advisor) in order for their summer school enrollment form to be accepted!

ü  Retention of a student for 2012.  Remember there is a spot on the Student Agreement to indicate that a student will be repeating a grade.  It is right next to the grade level box and is labeled “Ret?”.  Check the box if the current grade level will be repeated in 2012 for any reason.  If your student needs to repeat Kindergarten, please have the parent also sign this CDE required auditable form (http://www.cde.ca.gov/ci/gs/em/documents/parentagreeform.pdf) and mail it to the IEM office in Placerville. Note: It is an auditable document. Each student can only repeat Kindergarten once, and Kindergarten retention is frowned upon and should be avoided if at all possible. ü  Fall 2012 SAs: You now have the option of choosing a meeting timeframe of every 5, 10, or 20 days on the SA dropdown. Be sure to reflect  the correct time period to match your AESS contract if applicable.

ü  Kindergarten enrollment: A bill was passed last year to change the kindergarten birthdate entrance date. As of this time, it is still expected that the cutoff date for a K student to turn 5 to enroll for 2012 is December 2.  We will update you if this changes. 

 

h) Webexs to watch if you have students earning HS credits to prepare for the end of this school year: Grad procedures; HS grades/credits; HS Training

 

i) Reminder: Complete your PG hours for this year if you have not yet done so! Send info to your advisor in order to receive your PG hours.

 

3) Training Items

a) Portfolios Due

·         Your AF will send you a copy of the information for your Regional meeting.  Contact your AF is you need directions or additional information about where to go when for this all day meeting.

·          Wear your school provided lanyard and ID card or name tag to your March ES Regional meeting.

·         Bring all of your completed 2010 portfolios for every student on your Webfiles Portfolio checklist at Create/Print Portfolio list (except those 1st semester drops/grads already turned in) to be left with the advisor at your meeting after the peer review. Bring extra labels, samples, etc, as might be needed to make corrections.

·         March is our Portfolio Collection Month and 1/2 of the ES meeting will be spent on peer review/error correction of portfolios. Print to bring to your meeting:

·         If you need a pre-meeting refresher, watch the Portfolio Video linked to the ES Protected page/ ES Videos on the bottom section of that page.  Also review your notes from the portfolio activity at your ES meeting this Fall. Remember, Peer Reviewers will be held responsible for their careful portfolio review.  This is an ES job duty that must be taken seriously, as portfolios are an auditable part of our school documentation that allows us to collect state funding (or not)!

·         If you have a transfer student, and the transferring ES did not include a first semester checklist with their portfolio samples, please contact your ES advisor for assistance.

·         At your March regional ES meeting, after your peer ES reviews your portfolios, make any corrections as indicated on the Portfolio Error sheets immediately while at your meeting. If possible, make the corrections during the meeting as all portfolios with the Portfolio Error sheets attached and the Portfolio Review Checklist will be collected before you leave the meeting. If there are uncorrectable errors, talk to the advisor at your meeting, and if they concur, then follow the next step.

·         Use a  Portfolio corrections needed sheet (http://www.sscs.cc/Handbook/portfolio/portcorrform.pdf) and list for your usage all corrections that need to be made.

·         Any portfolios not taken care of at your meeting will require the ES to make an arrangement for their late submittal with your ES advisor at a location given to you by your advisor, and it will be reported on your ES evaluation if it is due to ES error or delinquency.

 

c)   Materials Import Plan:

ü  Nothing new to do on the Materials project but finish all up by April 1 (see past agendas).  If you have an unusual, difficult situation, please contact your advisor for an extension to the deadline to get this done.  Your list needs to be done, updated, items not being used posted on the Bulletin Board by ES Checkout.

ü  Remember to check the bulletin board before placing orders for your students for next year.  What you need may be there now!

 

c) Spring and Summer PO Requests: http://www.sscs.cc/Handbook/purchase/sprsumord.htm

1.   Remember, no “Delayed POs” this year for any school!

2. Please read the document above carefully, as the process for placing these orders have a few more critical steps to them than ordering during the rest of the year.  The deadline for orders to be placed from this year’s budget is April 29, 2011.  Remember, you can set a reasonable deadline for your families to get orders to you in order for you to place them prior to this deadline.  Any 2011 orders marked ” Cancel End of Year” will be canceled on June 15 by the accounting department if they have not been received by that time. You may now begin placing orders for returning families from 2012 funding. Note the section about not placing more than $150 worth of orders for any one student prior to the first day of school.  Order their critical materials now, and the rest when they actually return to school in the Fall. (Service POs for classes for the Fall are exempt from the $150—the limit is for Product POs only.)

2.     Next review the handbook document Criteria for Materials That Can Be Purchased with Instructional Funds so that you will not place orders for items we cannot provide (ES is responsible to know what can and cannot be purchased and are responsible to not place orders for items the school cannot provide.  The office is your backup to try to catch orders placed in error, but you are the first line of defense and are held responsible for what you order for a family. ).

3.     Then review the Watch list vendors list at http://www.sscs.cc/Handbook/purchase/watchlist.htm .

4.   In the Session field, “12” has been added so that you can begin at any time to submit up to $150 worth of product Pos for the 2012 school year from potential 2012 IF. Remember to not place any 2012 POs fore any family that has not completed a Fall 2012 SA.

5. PO Reminders:  

ü  No Service Pos for activities to be done in 2012 school year can be submitted using 2011 funding—2012 funding only.

ü       No service PO activities can be done after the last day of school.

ü  Any school checks not yet used by the last day of school must be collected and returned to the accounting office!  You, the ES, are responsible for this!

ü  Check now on any Product over 60 days out.  Don’t wait for the end of year rush to clear your problem POs!

ü  Clarification on ESs ability to contact vendors for Service vs. Product POs: 

o    For a service PO, you must contact the vendor to let them know the service is cancelled on (date).  A new process is coming for Fall 2012 to help with documentation of this.

o    For a Product PO, submit a PO inquiry and wait for and follow their direction to you.  Do not contact a product vendor directly for a problem order/cancelled order/return.

o    For both product and service vendors, you may contact them directly to inquire about what they offer before you place a school PO.

 

d)   Summer School:

SSCS Only: (http://www.sscs.cc/Handbook/sumsch/sumschpol.htm )

·         We have condensed the summer school session into 4 weeks, beginning on Tuesday, May 31 2011, and ends Monday, June 27, 2011 (20 days).  Note: the regular school year ends on Friday, May 20th.  We will have a limited amount of space for students interested in taking classes during this summer.  To be eligible for summer school, a student must be either behind in credits and/or have failed the CASHEE.  

1.     The high school student is 10th grade or above and has failed the CAHSEE and still needs to pass the Math and / or English Language Arts CAHSEE. These students will attempt the CAHSEE after summer school at the July test administration (only those enrolled in summer school may attend this test session).

2.   This student is behind in credits and needs summer school to graduate after summer school, or to be able to graduate at the end of next school year.

ü  A 12th grade student who did not complete all graduation requirements (and only needs 10 more to graduate) is eligible to attend.

ü  If not a 12th grader, but needs over 80 credits in order to graduate the next school year, they are eligible to attend.  

·          Space in summer school will be on a first-come-first-serve basis, with approval by Teri Alves of a qualifying applicant.  If you have a student who is eligible and wants to take summer school classes, have the family fill out and sign the summer school application ASAP.  This form should be submitted as early as possible, but must be received by the SSCS Placerville office before Friday, May 6.   (Contact Teri Alves at guidance@ieminc.org after that date to see if a late enrollment can be accepted or not)

·         If you would like teach SSCS summer school to your students and/or other ESs students’, please email Teri Alves (guidance@ieminc.org) before March 30th.  She will be planning and coordinating summer school this year for SSCS, and will notify you if you have been selected to teach summer school.   There is no separate funding available for summer school – this includes funding for SME courses.  Therefore, if you are interested in teaching summer school, you must be HQT in the courses you are teaching for summer.   (Hint:  If you do not have both Math and ELA NCLB certifications, do not apply to teach summer school!) If your student qualifies for summer school and plans to take classes this summer, you will need to purchase all of the books and materials with this year’s instructional funds.  Remember, April 29h is the last day to purchase materials with this year’s instructional funds.

All Schools:

·         If you have a student who does not qualify for our summer school but still wants to earn additional credits during the summer, encourage that student to take a class at a local community college.   The family will need to fill out the concurrent enrollment paperwork and mail it to the Placerville office ASAP.  The enrollment process for community college summer courses starts in April at most colleges.  If a student takes a community college course during the summer, be sure to have the student send an official transcript from the college to the (School) Placerville Guidance office after the summer course is over.   Our guidance counselor will enter in the high school level courses and credits into the student’s high school transcript, which will have those courses listed as being taken during the summer session.   Remember, a student can take summer school with our school or with a community college, not both (without guidance counselor permission). 

·          Hint: We do not process concurrent enrollment paperwork for students who are not yet “active” in our database, whether or not we have their Student Agreement for next fall, nor can we count their summer college courses on our school transcripts.

 

4) Messages from School Departments

f) IT

ü  Parent Accounts: There is a new button at the far right of the View/Parent Accnts Parent Accounts tab that  says “Report on All Accts”.  There are various ways for you to print your account activity.  Check it out to see what works for you to make your job easier.

ü  Technical Support Guidelines:  Reminder that you are only to contact our tech support and/or Cenion contractor for issues related specifically to Citrix or email…PERIOD!! Your working computer is YOUR COMPUTER and we will not pay for computer repair/internet issues/problems with other programs on your computer/etc. For other issues, let them know up front to bill you for the service and not the school.  Citrix and Email only, or we will send you the bill!!

 

a) ASSESSMENT

·         STAR Testing: It is very important that you look at each of your student’s End of Course information to verify that they are signed up for the correct EOC test (View/Students/click their blue ID #/click assessment/assigned EOC tests will be checked in the box on the right) as soon as possible for any necessary changes that will need to be made by the Assessment Department before testing begins.  Please explain to each of your students what grade level they will be testing and what EOC they will be taking in addition to the grade level booklet. 

o  Plan now to be available during your students’ testing dates so that you may respond immediately and call or test as needed by the assessment department.

o  Waiver info can be found at http://www.sscs.cc/assessment/ParentExemption.htm. Waivers MUST be received by the assessment office by March 23rd otherwise they will not be accepted. Please remind families that they may waive the STAR but they cannot waive the local assessment. They will still need to show up on their appropriate testing day and site to take a paper copy of a Scantron test.

o  Truant policy: Students only earn one truant for missing all of their testing requirements. You should not issue the truant until the end of the testing window (April 28) giving the student every opportunity to test.  Please be in contact with your advisor and Becky Cote (bcote@ieminc.org) if this will be the students 2nd truant resulting in expulsion from the school.

o   “No Shows” for STAR Testing: Each afternoon of dates your students are testing, please check ES Web files (View > Testing > STAR attendance > select the appropriate student and click one of the gray boxes on the right under “CST comments”.).  Call missing students to ensure they attend the next available test session or arrange to administer the test yourself.  After speaking with the family enter comments in light green comment box labeled ES Call Result.  Relay any new concerns to assessment by email to fhustrulid@ieminc.org.

·         PFT Testing:  All 5th, 7th, & 9th grade students will be taking the PFT test during their STAR testing days.  Please explain the importance of wearing appropriate shoes and clothing and that they will need to stay at the site until they have completed the Physical Fitness Test.

·         STAR Rewards: There will be $20 credited to a student’s IF account as an assessment reward this year ONLY for those students who score a “Proficient” or “Advanced” on both the ELA and Math portion of their STAR tests.  The rewards will be given out next school year after we get the scores back and only to students that are still enrolled with us at that time.  In addition to scoring “Proficient” or above, 10th graders must attend their CAHSEE test and 4th & 7th grade students must take their required writing test in order to earn their reward.

·         CAHSEE Letter: February CAHSEE results will be mailed to all students in late March.  It is critical that you explain to your student/parent at your next LR meeting the importance for 12th graders who haven’t passed, 11th graders who haven’t taken it twice, or 10th graders who haven’t taken the test yet to attend the May administration. 

·         Scantron Post-Testing Students: who have not yet passed the CAHSEE must continue to be enrolled in a math class (or the life choices CAHSEE prep course). Once students pass the CAHSEE and have completed all their math courses, you should administer the Scantron post-test. This is a change from our previous policy of post-testing the student in math at the end of their 12th grade year. Once a student has completed their math post-test and will not be taking anymore math classes, they will not need to be Scantron tested in math again. We are doing this to improve our scores.  (Ex 1, student Smith takes Algebra 1 freshman year and Geometry sophomore year and chooses not to take anymore math classes. He passes the CAHSEE on his first attempt. He would take the Scantron post-test at the end of sophomore year and then be finished with his math portion of Scantron for the rest of high school). (Ex 2 Student Jones takes math freshman and sophomore year but does not pass the CAHSEE. He must be enrolled in another math class until he passes the CAHSEE. Once he passes the CAHSEE his math classes can end and he should be post-tested in Scantron).

o  Bottom line: Students must 1) pass the CAHSEE 2) be finished with math classes 3) be administered the Scantron post-test.

o  High School students may now take their ELA Scantron post-test at the end of their 11th grade year if they 1) have passed the ELA CAHSEE and 2) are not going to do a 4th year of English. The Reading Scantron post-test must still be administered at the end of 12th grade.

 

b)GUIDANCE

Summer School Issues –See above 3d.

·         Community College Concurrent Enrollment: If a student is interested in attending a community college for FALL semester, April and May is the ideal times to complete the paperwork (concurrent enrollment form, pre-concurrent enrollment form). Our school has had a large increase in the amount of concurrent enrollments. The beginning of the school year is busy for both our schools and the colleges. Please try and prevent parent and student frustration by reminding parents to get these forms completed early.

·         Rosetta Stone – Online!! Our schools have made a positive step for our ELL students this year by providing free online English instruction from Rosetta Stone this spring.  This program will assist students as they build their English skills by providing vocabulary and language basics, spelling and writing practice, speaking without a script and reading and understanding English modules.  In addition, we are also are offering many free ESL classes to our students on a first-come basis.  With proper planning and students enrolling by early August, 2011 for the next batch, we will be able to ensure this program continues next year with the yearly fee going to approximately $79.00.

·         CAHSEE/Test Prep. – There is one more CAHSEE test administration this year, so please make sure that students who have not passed the CAHSEE are enrolled or able to access some of our CAHSEE preparation materials.  This would include Study Island, Bridges, Revolution Prep., Measure Up, Released Test Questions with Khan Academy videos, etc. This should be an on-going class until the student is finished with both Math and English portions of the CAHSEE.

 

c) Ed Liaisons: 

SSCS specific:

o  Fundraising- Please encourage your families to enroll is escrip.  Our participation this year has been extremely low.  Look for  emails regarding a contest in this regard in the next couple of weeks!  YOU, the ES will have  a chance to win a PRIZE!

o  Graduation- Graduation for 8th and 12th graders is May 21st.  March 19th is the deadline.  After that date, it will cost extra for expedited processing. Details:

Again, make sure all families have permission slips with them at the event.

No personal checks will be accepted by Mrs. Horner.

We are planning to have the graduation at the Resource Center even though the amphitheater stage has been vandalized and is not useable at this time.  The parent Board of Directors has voted to repair the amphitheater stage. We are actively working on this project. If the stage is not ready, we will move the graduation into the large room used for ES training at the Resource Center. 

New Events

o  Science Fair –Thursday, March 10th, 10am to 2pm, Ocean Grove Resource Center.  Synopsis Outreach Foundation has donated 50 display boards to our school for use in a science fair. The plan is to start simply and build an annual event for our school. The event is open to all students and the guidelines will be sent out in a week or two with registration information. I need judges who are willing to take the time to talk to each student about their display. There will be prizes in several categories. More coming.

     This vendor’s gradebook is going to be more labor intensive for the ES than APEX CTV.  So at this time I would still recommend APEX CTV unless money is an issue, or you need only one course, or you need a course not offered by APEX CTV.

Procedures for Receipt of Sectarian Curriculum

When receiving curriculum that is found to be sectarian, the ES should:

·         Submit a  FRED PO Inquiry  regarding item. Complete all needed information so item can be returned to the vendor.

·         Email edpo@ieminc.org so Nancy will be aware of item and not approve it in the future.

·         If sectarian material has been used, it must be returned to Nancy Mack.

 

f) IT

ü  Parent Accounts: There is a new button at the far right of the View/Parent Accnts Parent Accounts tab that  says “Report on All Accts”.  There are various ways for you to print your account activity.  Check it out to see what works for you to make your job easier.

ü  Technical Support Guidelines:  Reminder that you are only to contact our tech support and/or Cenion contractor for issues related specifically to Citrix or email…PERIOD!! Your working computer is YOUR COMPUTER and we will not pay for computer repair/internet issues/problems with other programs on your computer/etc. For other issues, let them know up front to bill you for the service and not the school.  Citrix and Email only, or we will send you the bill!!

 

5) ES Networking

No official networking, but if you finish up your portfolio corrections and work through your other trainings, use any other time and lunch to network!

 

6) Good Ideas from February 2011 AF Meetings:

Getting students to testing dates:

*ES’s have multiple copies of PALTR on hand to bring up and discuss at every LR meeting (in case the family has lost the copy).

* Email/call a few days before to remind.

*Suggest that parents put the dates on their calendar and check to see that they have done so.

*Ask parents at the LR meeting prior to testing if they anticipate there being any problem getting their student to testing so you can problem solve before-hand.

*Phone call/text night before if the family tends to “forget” their meetings regularly!

*One ES delivered a hard copy of the STAR assessment letter to her families and plans to PDF the letter and attach it to an email that she will send to her families a week before testing to remind them again.

*If you find that a family stops answering phone calls during testing and doesn’t show up to testing, if you call their house from a different phone, you may be able to get a hold of them.

*One good idea an ES has and carries out with their families is to give a magnet with STAR info dates and locations on it for the students to put on their refrigerators!

*In past years we had a STAR letter for parents to sign and ES's to collect. We would like to have this again as it enabled us to judge our parents' commitment to the testing. The new letter gives information, but does not require the parent to agree to take their children to testing, nor give them a place to indicate concerns about PFT and other issues. *Getting STAR information to our families:  We handed our families their letters about the STAR from FRED.  We will email the families a reminder a week before the STAR and the day before the tests to make sure they attend.                                                       *ESs might alert their parents that there are sometimes glitches in FRED, and that they may get a call even if the ES has notified the site that the student will be testing at a different time. This avoids much unpleasantness when the Accountability Coordinators call. FRED can take the blame and ESs, parents, and ACs remain happy.
