IEM November 2010/11 ES Agenda

 

Please read the agenda, along with each of its highlighted links, then print out as a guide for this month’s ES job duties. The agenda quiz must be completed in your ES WEBfiles BEFORE attending your ES meeting!

Please note that if you must miss your ES meeting, you should inform your Area Facilitator and ES Advisor and make arrangements with another AF to attend another meeting that month. (All meeting times and dates are posted in the ES handbook along with AF e-mail addresses and meeting date, time, and location). Your AF is listed in ES Webfiles on the ES Welcome page. If you miss the meeting altogether, you will be reminded of your responsibility to attend and will be held responsible for the information given at the meeting. If you miss another meeting, it will become a discipline issue and may result in a drop in your student load. We do not believe that you can effectively serve your students if you miss critical information about the school and your job. Thank you for making these meetings a priority as you schedule your time for this school year!  The ES Support Department.

 

1) Dates to Remember and Dated Duties

a) November 2010: Vigorously continue 1st semester portfolio assembly and collect any and all  missing samples from 1st semester this month.

 

b) November 1, 2010: ALL ES’s should have entered their CAHSEE plan for 10th grade students and 11th and 12th graders who have not passed the CAHSEE

 

c) November 12, 2010: All ESs who were with us last year and wrote ES Goals on their ES Webfiles View/ES Detail page on the OG/SS Prof. Growth Goals tab are to enter a short written Progress report on how you have met your 2011 ES goals to date, and what you expect to do next semester.

 

d) November 12, 2010 & December 15, 2010 at noon: The Payroll Snapshot will be run.  Any forms not entered by the office by this date will not be paid in the end of month paycheck (but will be reconciled in later pay periods—no pay for active student days is ever lost to the ES). The office needs 3 days to get paperwork entered after they receive it.

 

e) November 15, 2010: Deadline to take and pass your November ES Agenda 2010 Quiz in ES Webfiles

 

f) November 17, 2010: 2nd Semester IF Funding will be deposited. DO NOT SPEND any of this IF for those who will be dropping or graduating at the end of 1st semester.

 

g) November 18. 2010:  The Late Student Agreement report for 2nd semester SAs will begin to run.  Remember that no student may continue on to 2nd semester without an active SA for 2nd semester signed before the first day of 2nd semester.

 

h) November 19, 2010: Complete and Mail all  2nd semester Student Agreements to the office for those students who will continue with us next semester. Plan now for this! Remember also that faxed copies are not acceptable to the auditor, so please only send these in by mail. Also incomplete course info will result in an error designation for that student; do not send until the report card with course names has been created, all info is completed and signed and dated by all 3 required persons (2 for an adult student). If a student is in doubt, send in an SA and then drop them later as necessary. Please audit your own paperwork carefully before mailing!

 

i) November 19, 2010: For 1st semester graduates, you must submit (complete and click DONE) your Webfiles report cards with estimated 1st semester grades.  Yes, we know it is hard to estimate the grades and credits for some, but assume the best, and we can make changes later if needed.

 

j) November 19, 2010: Last day to create a high school report card for your 7th/8th grade students taking Algebra 1 NOT for High School credits in order for their correct STAR math test to be ordered and the correct HQT to be reported to the state (see link at 4f below).

 

k) November 19, 2010: Final date to sign your 11th grade student up to take the EAP test (see info at 4f below).

 

l) November 19, 2010: Last date to enter Summative math in ES Webfiles as well (see link at 4f below).

 

m) December 3, 2010: Plan ahead to be able to submit the completed grad packet to your ES Advisor in one package and enter graduate updates as needed into ES Webfiles student Detail page.  The ES Advisors need this lead-time to be able to complete their job by the end of the semester. Enter your 1st semester "planned grads" in ES Webfiles now so that your empty student spaces may be filled asap with 2nd semester students.

 

n) December 3, 2010: Phase 1 of the Materials import cleanup is to be completed.  See the Oct agenda for details.

 

o) December 21, 2010: Remind your families of the deadline to provide to you their School-Wide writing assignment this month at your LR meeting. Give them any help they need to get started if they havent yet started. You may want to have the students do their writing while at the meeting with you.

 

p) December 21, 2010: Complete entries in Student Surveys.

 

q) December 21, 2010: Sign up all your students in their SME courses for 2nd semester/approve those rolled over/check to see that your students are in their CORRECT course/section (a or b)/delete those rolled over that are not taking that section  (see 2b below) prior to this date.

 

r) December 21, 2010: First Semester Ends.  Plan now to not hold paperwork over Winter Break, but mail everything you have to go to the office this day!  The office will be staffed during the break to process your paperwork.

 

s) January 7, 2011: For all ESs with students enrolled in SME courses, last day to send to your SME All the Supporting documentation requested for 1st semester courses (see 2b below).

 

t) January 14, 2011: For all May 21, 2011 graduates, send/email to your ES Advisor information needed for a 2nd semester graduates preliminary assessment (See Grad Procedure in ES Handbook).

 

u) January 14, 2011: Phase 2 of the Materials import cleanup is to be completed.  See 3d below for details.

 

v) January 21, 2011:  1st semester Report Cards due

 

2) Things to Do

a) ES Advisors:

·         Remember that your ES Advisor is always there to ensure that you know what needs to be done, how to do it, and that you are doing it as required by the school/auditor/state laws and regulations. 

·         Your advisor is a wealth of information, and is committed to supporting you as you become the best professional ES you can be!  Please never hesitate to ask your questions (about anything except specific personnel/payroll issues) of your Advisor first before emailing or calling anyone else! This will save a lot of time/frustration/effort for everyone!

·         You are not bothering them, they are there to serve!

·         Always check with your advisor when you are going to give a truancy—new this year!  Very important to not forget!

 

b) SME Grades/Credits and Spring Enrollments:

·         Read this reminder document then read the summaries below: http://www.sscs.cc/Handbook/highschool/smeprocess.html.

·         Your students who were signed up with an SME for Fall semester will be rolled over to the next course for 2nd semester by November 15th. If you do not need that course, go in after November 15th and delete them; if they will be enrolled, go in right after November 15th and mark your “ES Approval”.

·         HQT SME Courses for Spring Semester 2011 – Are Available Now for new enrollments!
New enrollees for 2nd semester classes can sign up now But, please take care of this prior to Winter break—by December 21, 2010. PLEASE ENROLL VERY CAREFULLY as both fall semester “1” courses and spring semester “2” courses are in the system at the same time now, and it is easy to enroll in the wrong one.  Remember that if your student is in an “a” section of a class and will be doing “B” next semester, the student will be rolled over.  No need to enroll that student, only approve them when the rollover is done.

ü  Look for semester “2” before enrolling the student to eliminate errors.

ü  To remove an incorrectly enrolled student from an HQT SME CP Course, email Shelley Ross, curriculum@ieminc.org.  For all other CP Courses, email cp@ieminc.org. 

·         Remember to email your SME with any modifications needed to make the course fit your students needs when you enroll a student and list the modifications of the SME Assignment Worksheet. A course called "HQT ENGLISH X" should be good for any level of student:  Basic, Regular, and A-G.  The ES needs to email the SME for changes to the syllabus as needed. For a-g courses, use the school approved a-g syllabus for the assignments needed.

·         Begin NOW (as soon as you collect all assignments) to provide your SME with their requested work samples. Use the SME Assignment Worksheet as a cover sheet when sending the work to the SME, along with the SME Student List Worksheet where you list each student, their assignments and credits, and specific modifications if applicable. BE sure to copy any of these samples you will need for the student's portfolio before mailing, as they will not be returned. The HQT SME, as teacher of record, is the one who must keep this students work for that course for several years. This is due by January 7, 2011.

·         Your SME will review the work in the order received and communicate with you by phone or email the official grades and credits. You will need to enter those exact grades and credits into the students Webfiles report card and submit prior to the report card due date. Then keep the email in the student's file.

·         Thank you SMEs for another wonderful semester of support and for being so flexible when working with the students and ESs!

 

c) Special Ed concerns: 

·         If you hear a concern from one of your families of special ed students with anything to do with special ed, please do not try to follow up on the issues yourself (as you are only be paid to be the regular ed teacher and therefore are not trained in how special ed is doing their part), but email mcarr@ieminc.org.  They want and need to hear any concerns you are hearing so they can follow up.

·         You, the ES of a special ed student, are expected to arrange your schedule to be able to be at IEP meetings—your input is critical! Do let your advisor know if you are not being notified ahead so you can plan your schedule around these meetings.

·         To make a referral to special ed for a student not currently in Special ED, see the information in the Handbook at Student Study Teams and follow the process by submitting the required forms. Do not call the special ed office for this!  They will contact you.

·         Remember that your role as regular ed teacher is to be the liaison between the student sand special ed department as needed.  You are not the advocate for the family; you provide facts to special ed as requested by them. You need to defer to special ed for all special ed issues, please!  They are the experts trained in all of the special ed laws and we need to rely on them for that part of your students’ education.

·         Special Ed services are not funded by Instructional Funding.  You, the regular ES should not be submitting vendor requests for special ed services, nor making recommendations about these types of services with your family.  All of the services needed specifically for special ed issues will be provided by the special ed department, after being written into an IEP, if appropriate.  In an IEP or 504 meeting, there may be a recommendation of “regular ed” materials or services you need to purchase from IF.  We only expect our regular ed ESs to work with their special ed students in the area of their regular education, or to allow/provide accommodations/modifications as indicated on the IEP. For questionable vendors, vendor relations will check with the special ed department for clarification before approving. For additional questions about this separation, contact your Advisor.

 

3) Training Items

a) Dual Enrollment: Read this document about Dual Enrollment posted in ES Resources: http://www.sscs.cc/Enrollment/DualEnrollment.htm . Remember to always alert your advisor if you encounter what you suspect might be a dual enrollment situation. Your advisor needs to work with you on all of these situations.

 

b) Vendor Requests and PO Inquiries/Accounts:

·         Prior to your meeting, watch the Vendor Requests Webex, then review the Vendor Requests documents.  Note the Vendor Approval Checklist to use when determining if a vendor should be submitted for our school. Bring any questions or concerns to your meeting. See IT area below for new way to search for vendors in ES Webfiles Search/Vendors.  Try it out!

·         Prior to your meeting, watch the PO Inquiries Webex. Bring any questions on this to your meeting.

·         Prior to your meeting, watch the new Webex posted on how to reconcile parent accounts on the school ES Video webpage at: http://www.sscs.cc/video/ParentAccount.wrf .  Bring questions to your meeting.

 

c) Fact Sheets:  Check out the new Fact Sheet index organization (http://www.sscs.cc/Handbook/factsheet/index.html ) and read any fact sheets you have not previously read.  Bring suggestions of other fact sheets you would like to have available to your AF at your Group Meeting. Bring any question as well.

 

d) School Materials, phase 2:

·         Continue with the directions from the October ES Agenda and complete that part on or before Dec 3.  Then proceed to the next step:

·         Complete your review with your families and your tracking info in their files of the non-consumable list for your families started last month.  When complete, update the info in ES Webfiles

ü  Use the transfer buttons to transfer items from one of your families to the next. All items should be with the correct family, and not just left with the first one to order that item from now on.

ü  For a number of items going to one family, remember to use the multi-transfer button.

ü  If you ordered a set and you need to break that item up to transfer to different families, contact your advisor for help the first time—they can show you how to do this.

ü  You can print labels for older items now, too!  This should help you to track an item as it is transferred around.

ü  For MM items, mark them as mm on the family list in ES Webfiles; then mark to “archive” with a note stating that a MM has been sent for this item. (Note:  At this point, the only items that are to be marked archived are those that have a MM form sent.)

ü  For items that were consumable, move to your consumable list and mark consumed.

ü  Make note of any items you believe have gone to another ES (you can use the notes field so you only have to review this once and will have the info there)

ü  OGCS only:  On the Multi-transfer list there is a button on the top for the OG RL.  Check all the items on your list you believe have been taken there (review your records) and check those now.  The RL will check to see where they have gone if they are not there. Do not archive these—they are just with another entity, not “archived”.

·         Complete the above by Jan 14 for older items, then stay current from this point on as you transfer materials around to your families.

·         If you still have items you are not sure of on your list, wait.  Complete this first!

·         Put items not being used on the Bulletin Board!  You can now select a button when the transfer is being done to have the item shipped!

·         Hint:  If you have an item on your list that says “math book”, and Family X has a math book in their home but not one currently on their list, but you are not sure if this is it, call it the right one and transfer to them now.  You do not need to research POs.

 

e) ES Role Clarifications: Please read through/review this "Role of the ES throughout a student’s educational career" document and bring questions/comments to your ES Group meeting.

 

f) Prepare for the December Portfolio Review:

·         Remember, the Dec portfolio review meeting is for another ES to peer review your work and provide feedback on corrections needed before you do your final portfolio assembly and to share ideas for subjects where your peers are having difficulty finding an appropriate sample– please come prepared with everything as complete as possible for 1st semester.  Ask your advisor questions now if you are unsure about something so your portfolio can be accurate and complete before your AF meeting.

·         In addition to bringing your completed 1st semester portfolios for all students AND your final completed portfolio for any student who has dropped during 1st semester and any 1st semester grads (note: this meeting does not have time to assemble your portfolios, please have 1st semesters’ done prior to your December meeting), it is helpful to bring the following extra supplies to your ES Group meeting in December:

·         1st semester portfolios should be placed in their envelope left open for review with the following:

·         After this review, make any needed corrections, give the portfolios one more review by you using the checklists, then mail your dropped and grad student portfolios to your ES Advisor.

 

g) Graduation vs Completion:

·         In order for students to receive a diploma, they must meet all of our graduation course requirements, plus pass both sections of the CAHSEE,

·         Can a special ed student who has not passed both sections of CAHSEE receive a high school diploma?

o    They must have attempted the CAHSEE (both sections: ELA and Math) twice!  Then if they do not receive a score of 350 or better, but have passed all required coursework for graduation, they will receive a diploma.  Mark them as a "Graduate", not for "Completion" on both the Grad paperwork and in the Drop/Grad section of ES Webfiles.

If in doubt, contact Becky Cote (bcote@ieminc.org) for clarification for your student!

·         Non-Special Ed Students who meet all of the graduation requirements, but do not pass the CAHSEE, may choose to receive a School Certificate, and not a Diploma. Or they may choose to stay enrolled for an additional year and attempt the CAHSEE up to 3 more times, which still completing 25 units each semester. Remember there is a form we need signed if they choose to leave the school with a School Certificate located at: http://www.sscs.cc/genericforms/schcertselagr.pdf .

·         Graduation/Completion Packets will still need to be completed in all of the above situations, and sent to your Advisor by the due dates listed above. Plan ahead to meet your deadlines for submitting your 1st semester packets!

·         Graduation course requirements clarifications: (Contact your ES Advisor for help with specific courses)

 

h) LR Reminders:

·         Seasonal Holiday Activities reminder: Please remember that as the holidays approach, when we document the activities in the learning record, we should not write “are making Christmas gifts, cards, or decorations”, but instead write specifically what they did, a woodworking project? Drew and colored pictures? Created a project using paper mache’? Copied the art technique of the Impressionists? Did cut and paste activities? We are not paid ADA to “create Christmas items”, but to do something like the activities listed. Please just list the activities, not any seasonal holiday description. If the student studies the meaning and origin of Christmas and/or Hanukah, this is only appropriate to list on the LR if the student is studying holidays of all the major world religions this school year.

·         K-8th LR Assessment Statements: As we approach the end of the semester, every K-8th grade LR course will need to have an assessment statement. If your students are assessed monthly, this is ideal. If not, then please email your advisor with the dates of the LR where assessments are included so they can do a review, or email which students are assessed monthly and any record can be reviewed. All advisors should receive an email about each of your K-8th graders prior to January 22, 2010.

 

4) Messages from School Departments

a) IT

·         Vendor Tabs: In ES Webfiles, on Search/Vendors there are new buttons that will help you view vendors or CP instructors by status: Active, prospective, denied, or inactive.  Remember to check for a vendor before you submit a new request!

·         Student Forms now for all students:  In ES Webfiles View/Students Student Forms tab, you will not be able to create/recreate forms for all students, even inactive ones.

·         Permission slip button:  In ES Webfiles, on View/CP student List, you may click on a blue GEA course name and after your students are enrolled, you can  click on the “Print GEA Permission Slip” button.  Print the forms partially completed and email to your family (or give to them) to complete.

·         CAHSEE Intervention plan:  Remember the new field to enter in your CAHSEE Intervention Plan.  Same page as before, but a new button at View/Testing CAHSEE tab, click on the blue student number.  ON that layout, click the new green “Edit CAHSEE Intervention” button. Select the year before typing in your CAHSEE plan.  (If you used the older space before this new one, you will need to copy and past the information over to this new area where it can be tracked from year to year.)

·         Assessment Site Letters: A new, easy feature has been added to FRED to allow you to automatically print CAHSEE/STAR test letters to give to your families!  Please be aware of this feature but note that the assessment department is still updating the letters and not all of the test sites/locations have been confirmed and entered yet. Please do not give these letters to your families until you receive a listserve message indicating that it is now time to print a letter. If you have any questions about the procedure please contact the assessment department.

ü  In ES Webfiles, go to View /Testing  CAHSEE/STAR  tab > Attendance tab

ü  You will notice that for each student there is a big “letter” button next to the site. If the button is yellow, it should print out your CAHSEE/STAR letter with the information about the student’s test site and schedule.  After printing, it will turn green, indicating that it has been printed.

·         More Materials list items:

ü  On the Multi-transfer tab, there is a new button at the top to print labels for items as needed.  You can also access this from View/POs.

ü  When you are doing a transfer of materials to another ES, there is not a button to complete if you wish to have those items shipped to the receiving ES.

ü  Use the bulletin board!!

 

b) VENDOR RELATIONS

·         Semester POs Reminder (as 2nd semester IF is deposited): When submitting a PO for an educational activity for the whole semester, please break up the units by either individual class sessions or per month costs. If a PO needs to be canceled before the whole amount has been spent, this will make the process much easier for all.

·         CP Set-ups:  Do not put business names in CP set-ups—they must be employee names, as they are paid on a timesheet. (Remember to do all businesses as POs and not as CPs if at all possible!) If you are setting up a CP and need additional students to enroll, you may advertise it on the listserve once per semester.  Send your listserve announcement to to Kirstine at iemtraining3@ieminc.org .

·         New Vendors by School:  SSCS   OGCS

 

c) Ed Liaisons:

SSCS:

ü  GEAS:

·          GEA’s are going well and are very popular this year!  Please continue to collect permission slips for GEA’s.  As a reminder, unless otherwise instructed, parents must bring the permission slip for collection to the GEA.

·         Additional GEA’s added this year are IMAX Hubble in 3d in January and Raley Field Home Run tour. 

·         I am working on an overnight type of camp (science or history) in early May.  If you have personal experience with a particular one, please email me.  I have calls in to several and have not decided on one yet.

ü  Fundraising

·         Please continue to bring box top to your AF meetings.

·         Please encourage parents to sign up for Escrip at www.escrip.com

ü  Graduation: Please make sure you have checked off whether or  not your 8th and 12 grade students will be participating in graduation in FRED.  This is the way we find the students to make sure they have everything they need for graduation ceremonies.

OGCS:

ü  GEAS:

·          GEA’s are going well and are very popular this year!  Please continue to collect permission slips for GEA’s.  As a reminder, unless otherwise instructed, parents must bring the permission slip for collection to the GEA.

·         The Monterey Bay Aquarium filled up so quickly that I am setting up another GEA. Details to follow. 

·         Please stay tuned for free concerts in Monterey and Santa Clara in March. I am waiting for verification on dates and numbers.

·         Other GEAs for January, February and May are in process and will be announced when the details are set.

·         There has been some concern that we do not have enough spaces in the GEAs. These numbers are set by what is available at the vendor for the event. If a GEA fills up quickly and you contact me (Mary Ann) before the close date, I can sometimes open the event to more spaces. I am working to create larger GEAs for the future which will be posted soon. Please communicate with me if there is a problem. What I cannot fix for this year will be added to notes for next year’s GEAs.

ü  Park Days - We had a very nice day in San Jose and the parents enjoyed meeting each other. I plan on setting up events in the San Mateo area, Monterey, Morgan Hill/Gilroy, Santa Cruz, and Boulder Creek areas. Not all of them have to be park days, but I could use help in locating parks or other sites where we can organize events for our new families to meet other OGCS families in their community. Please contact me with ideas for your area so we can continue these events.

ü  Science Fair - I have found a company that has donated 50 science fair display boards to our school. I would like to have a science fair this year, but have not organized one for years. I need some help and am looking for any ESs who have experience with science, science fairs, or want to help this project succeed, please contact me at mshapiro@ieminc.org. The projected date will be in March.

Recommended California standards-aligned, middle and high school history textbook programs will begin our discussion. Vendor website resources and activities will be demonstrated. Parents will be shown how to teach history using cross-curricular and mutli-media resources and activities including the Learn 360 video streaming program. Parents will be oriented to the school website history resources, pacing guides, correlations, and standards review materials.

Math tutorials for math concepts beginning in 2nd grade with 2-digit addition, Basic Math, Algebra, Geometry, Trigonometry, and Calculus.  Students can choose from among 3-4 tutors for each concept for variety.

·         AIM Education/Learn 360 
The Learn 360 video streaming license includes excellent math tutorials.  Inform your families.
A Learn 360 license is pro-rated at $75 after January 1, 2011.  All Learn 360 licenses expire every June. 

·         School-Wide Writing Assignment
Writing Samples are due to the ES no later than the December LR meeting.
During November, students are encouraged to complete the optional “Mock Practice” writing assignment prior to completing their actual school-wide writing assignment sample.  Any changes to the writing prompt must be pre-approved by the ES for like rigor and appropriateness. 

·         APEX CTV – Required Materials – Order Directly from Publisher
Please order APEX CTV required materials directly from our other vendors…
mainly Prentice Hall.   They are MUCH cheaper if ordered directly from our publishers, and you will not have the shipping issues.    Because many required APEX CTV literature books are now out of print…you can order those through a used book vendor such as e-Tech Academy’s textbook purchasing program, http://www.ieminc.org/handbook/curriculum/vendor/e-TechTextbkPurch.html, or still order through APEX CTV as a product PO.  

e) GUIDANCE:

·         Community College Concurrent Enrollment: Typically, in the month of November, community colleges post their schedule of classes offered for the spring semester.   If a student is interested in attending a community college for spring semester, November is the ideal time to deal with the paperwork (concurrent enrollment form, pre-concurrent enrollment form) and get the student officially enrolled in the college. 

·         Fall 2010 UC/CSU-bound students --- It is time to get those applications in!  The window for submitting applications is November 1st – 30th. Websites that would be extremely helpful would be:  www.calstate.edu

·         a – g Policy – students taking a-g courses must turn in enough work from the a-g syllabus to their ES, so that the ES feels comfortable with assigning college prep units.  If the ES is not HQT, then the ES must turn in assignments from the a-g syllabus to the SME.  Make sure if the student is taking a-g science courses, there are at least 4 representations of labs assignments that were supervised by a HQT.  The mid-term and final must be proctored by an ES or HQT. 

While the textbook is not specific with regard to a-g courses anymore, the assignments parents or ES’s give must correspond, enhance or supplement the syllabus.  Guidance has received many requests for exact assignments for a-g classes and it is not possible to have uniform assignments when there are different texts being used.  Also, some teachers may use writing as part of their assessment rather than multiple choice tests – that is fine.  The scope and breadth of the work a student does must be similar to the a-g syllabus.

·         CAHSEE Intervention – Cahsee Intervention plans were due November 1, 2010. If you haven’t submitted your plans in FRED, you will be receiving an email.

 

f) ASSESSMENT:

·         Proctor charts have been updated on the website. Please note some significant changes:

1)     CAHSEE is now from 9am – 3pm and considered a full proctor day

2)    ES’s with 13 or more students are now required to proctor 8 full days and ES’s with 12 or less students are required to proctor 4 full days.

·         Don’t forget your students need to be completing their Scantron study materials if they have not passed the CAHSEE and/or scored Basic or below on the 2009 STAR tests.

·         STAR Materials: We will be ordering our STAR materials the first week of December.  In order for us to get an accurate number of the tests that we need, every ES will need to take care of the following STAR directions prior to Thanksgiving Break for each of their 2nd-11th grade students.  The deadline for each is no later than Friday, November 19 2010!  (For new students, continue to put the data in even after the deadline, as we will be able to do an order for their materials later on.)  

o    For your 7th/8th grade Algebra I students: ES’s with 7th and 8th grade students taking Algebra I, but not for high school credit, will need to create a high school report card for Algebra I.  After making the report card, make sure to NOT (ever) mark ready, but do not delete it as it is needed for state reporting of the HQT.

o    For your 11th grade EAP students: (Encourage all of your 11th grade students to consider doing this, as if  the student’s test results are proficient, then they will be able to opt out of some of the basic English and Math courses their freshman year of college at the UC/CSU system.)  The EAP is a collaborative effort between the CDE, the California State University (CSU), and the State Board of Education (SBE) designed to assess students for college readiness in their high school junior year.  The EAP is a voluntary eleventh grade assessment that combines CSU placement standards with California high school standards.  This early assessment identifies whether a student is prepared for college at a point when students have the time to gain the needed preparation during the high school senior year.  The essay test portion is administered with an open window during STAR testing time.  Additionally, there are 15 ELA multiple choice questions built into the eleventh grade test and 15 math questions built into the Algebra II CST test. To sign your student up, go into ES Webfiles and do the following:

  1. Go to View/Testing
  2. Make sure you are on the STAR/Attendance tab
  3. Select the student by clicking their student number
  4. Go down towards bottom left of page where it states "EAP-11th graders only".  Please click on the box and select “2011” for each of your eleventh graders that need an EAP test going on to the UC/CSU system.

o    In order to view your student’s information on EOC’s (End of Course):

  1. In Webfiles, Go to View/Testing
  2. Select STAR/Attendance tab
  3. Click on student number
  4. View STAR Testing Tab Detail- Note “Assigned EOC tests” box on the right hand side to see if student has any EOC’s listed.
  5. Let your student know the EOCs they will take this year!

o    Mark the summative math box as applicable for your HS students. Even if your HS student is not taking math this year, they will still need to take Summative Math EOC if they have completed Algebra II. 

  1. In Webfiles, Go to View/Testing
  2. Select STAR/Attendance tab
  3. Click on student number
  4. Make note at bottom in “Summative Math EOC” box and check the yellow box if your HS student has completed Algebra II in 9th, 10th, or 11th grade.  Please contact the assessment department if you should have any questions on this. 

Note: If your student has completed Algebra II and is currently taking Geometry, we need that student to take Summative math instead of Geometry EOC. Follow the directions above, check to see if Geometry is on their EOC list, and if it is, then email Fina at assessmentclerk@ieminc.org to tell her of this situation for your student.

 

g) EL Support (SSCS Only)

Alison Garcia and Nancy Thomas, the English Learner teachers, have begun supporting the English Learners who have been identified using several criteria.  They continue to administer the CELDT to prospective students who have become active.  ESs may view their students’ work (for info and  LR purposes) by going to View, CP student list, select the EL student’s EL course and read to the far right the notes from the EL instructor.

 

5) Networking:

a) Webex Curriculum Training:  Watch together and discuss questions with your AF.

b) Portfolios: Plan for an activity with your group.

c) Ask for help on any portfolio sample you bring to your meeting you would like help on.

d) Peer Help! Discuss help needed from each other for textbook ideas, CP classes, tutors, and other curriculum.

 

 

6) Peer Tips:

*One ES highly recommends PDF Creator as a free download instead of Primo PDF.

*One ES reiterated the benefit of using Dragon to write learning records. She found it to be a major time saver.

*ESs LOVE LOVE LOVE the site www.spellingcity.com.  Students plug in their spelling words and various activities/games are created with them.

*ESs also love www.firstinmath.com

*Things of Value:  Some ESs use the phrase “If you ever want to keep it, buy it yourself!”

*If a student is taking Driver’s Ed. Online, or any other class for that matter, get the student log-in and log in as that student.  That way, you can see the lessons and it is easier to get the information for the learning record. 

*PO and Tracking: When creating a PO, we suggest entering a complete description of the item so that 5 years from now the ES will know what the item is. We are finding items described as “Elementary Level”, which was enough to describe the item to the vendor, but not enough for us to figure out what it is.

*Grade levels should be written inside literature books when ordered and received in order for it to be easier to figure out grade level once they are sent to the Resource Library or given to another ES.
